The Corporate Administrator role is the entry level to the Corporate Services Unit. The administrator supports other members of the team whose main role is the set up and servicing of companies and the administration of trusts. The role entails hands-on involvement, responsibility for some own tasks and requires a strong presence in the office. The Corporate Administrator works very closely with team-members to offer a smooth client journey and collaborates with colleagues in other departments

Duties and Responsibilities

  • General administration and maintenance of filing systems  
  • Scanning, organizing and filing of client documentation 
  • Updating of client database, spreadsheets, and client folders 
  • Organisation of mail and couriers 
  • Organisation of cheques and credit card top ups 
  • Preparation and Dispatch of Company Packs 
  • Preparation of Payment instructions 
  • Organisation of Certifications /Apostilles 
  • Ownership of Annual Returns & BO forms processes 
  • Drafting of company documents and registry forms for basic corporate processes; 
  • Handling internal calls 
  • Handling of submissions of documentation to authorities; 
  • Preparation of spreadsheets and updating of lists for any ongoing projects; 
  • Extracting of data/lists required for team members or other colleagues  
  • Liaising with Internal Departments to support CSOs with clients requests 
  • Assisting CSOs with liaising with external collaborators such as Directors, Accountants, Auditors 
  • Scheduling client meetings for CSOs; 
  • Providing support to the CSOs/Senior Management with administrative tasks as required 


Key Attributes

  • Highly organised and self-motivated 
  • Excellent written and spoken skills in the English language, other languages are an asset 
  • Proficiency in Microsoft Office suite will be an asset 
  • Ability to work independently 
  • Experience in an office environment would be an asset, but not mandatory 
  • A team player 
  • High attention to detail 
  • Committed to deliver excellent results 
  • Ability to observe the highest degree of confidentiality in the handling of information
